This policy explains what personal information we collect when you use offgridsolarexperts.co.uk or contact us, why we collect it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. What we collect and why
When you contact us or submit a form (contact form, price outline request, system size check): your name, email address, phone number, postcode or site address, and anything you tell us about your project, including any plans or documents you attach. We use this to reply to your enquiry, design and quote a system, and carry out any work you ask us to do. Legal basis: taking steps at your request before entering a contract, and performing that contract.
When you call us: your phone number and the details of your enquiry. Legal basis: as above.
When you become a customer: your address, contact details, system design and commissioning records, invoices and payment records. We keep these for as long as needed to support your system and to meet our legal obligations (accounting records for six years). Legal basis: contract and legal obligation.
Remote monitoring: installed systems are monitored through Victron Energy’s VRM portal. This records technical data about your system (energy flows, battery state, alarms), not personal data about you, and is shared with Victron under their own privacy policy. Access is set up with your agreement at commissioning.

2. Who we share it with
We don’t sell your data. We share it only with:
- Service providers we use to run the business: email and document storage (Google Workspace), our CRM (Pipedrive), quoting (PandaDoc), accounting (Xero), and website hosting. Each acts on our instructions as a data processor.
- Equipment suppliers and manufacturers, where needed to order kit for your project or process a warranty claim (for example Victron Energy, BYD, or our distributors).
- Subcontractors we engage for a specific part of your installation (for example groundworks or scaffolding), limited to what they need for the job.
- Professional advisers and authorities where the law requires it.
Some providers process data outside the UK (mainly in the EU and the US). Where they do, transfers are covered by the UK International Data Transfer Agreement or an adequacy decision.
3. Cookies and tracking
This site uses:
- Essential cookies for the site and its cache to work. No consent needed.
- Google Analytics (via Google Tag Manager) to see how the site is used — pages visited, time on page, rough location. This data is pseudonymised.
- Google Ads conversion and remarketing tags, so we can tell whether our adverts led to an enquiry and show relevant adverts to people who’ve visited the site.
- YouTube embeds, which set cookies when a video is played.
- Google reCAPTCHA on our forms to block spam.
- Google Fonts, loaded from Google’s servers.
Analytics, advertising and video cookies only run if you accept them in the cookie banner. You can change your choice at any time via the cookie settings link in the footer, or block cookies in your browser. Google’s own privacy policy is at policies.google.com/privacy.
4. How long we keep it
- Enquiries that don’t become a job: up to 2 years, then deleted.
- Customer records, designs and commissioning documents: for the life of our relationship with you and 6 years after, to support the system and meet accounting and warranty obligations.
- Website analytics: 14 months (Google Analytics default), then deleted.
5. Your rights
You can ask us to: give you a copy of the data we hold about you; correct it; delete it; restrict or object to how we use it; or send it to someone else. You can also withdraw consent to cookies at any time. Email info@offgridengineering.uk and we’ll respond within one month.
If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
6. Security
Data is held in password-protected, encrypted systems with access limited to the people who need it. We’ll notify you and the ICO without undue delay if a breach affects your personal data.
